    • We are the main point of contact for your hotel & venue throughout the pre-planning, during on-site delivery and production, and post event billing wrap-up. 

    • Our years of experience working in hotels enable us to proactively coordinate with all hotel departments that impact your attendees’ experience, and coordinate top-tier services for your event.  

    • Work with venue contact to develop all services and finalize Banquet Event Orders (BEOs) and all planning documents. Schedule Pre-Convention meeting with hotel reps, key supplier partners, and you to facilitate introductions and review event details.

    • Collaborate with the audio-visual (AV) supplier to determine the ideal equipment for your event criteria and budget, while considering the latest in equipment technology.  

    • Thoughtfully manage resources typically supplied by an event venue, such as staffing, furnishings, staging, power, and Wi-Fi.

    • Develop a thorough production schedule to orchestrate all supplier movements at the venue and ensure all are working in unison.  

    • Schedule, plan, and lead planning site visit inspections to the hotel and venue. We work with you to set goals for each visit and create a thorough visit agenda. 

    • Coordinate all visit arrangements with hotel, venue and supplier partners to arrange a sampling of their services and meet with key contacts. 

    • Communicate site visit arrangements and details to all participants prior to the visit. Create a post-visit summary to outline accomplishments, pending decisions, tasks, and next steps. 

    • Review food & beverage goals and budget with you, the venue event contact, and culinary team. 

    • Oversee menu development and proposals. Coordinate with the culinary team to identify ways to ensure experiences are relevant, intriguing, and innovative. Facilitate and attend food and beverage menu tasting. 

    • Review final event orders to ensure they are accurate and reflect all custom touches and elements. Once onsite, we ensure all food and beverage is presented as planned.

    • Manage room block at the main host hotel and overflow hotels. Work with hotel’s group housing department to regularly monitor inventory and reservations, adjusting as needed. 

    • Work with you to organize a VIP rooming list and suite assignments and identify room billing exceptions. Set expectations for the attendees’ check-in experience and event details shared upon arrival.

    • Set-up text/communication group between us and all essential reps to communicate last minute changes and arrivals/departure status in real time. 

    • Select the venue function spaces best suited to host your events based on attendee counts, location in the hotel or venue, and your unique space set requirements. 

    • Create an event agenda outline to encompass all desired event functions within the timeline parameters. Record all function specifications to have one central point of reference for the hotel and all supplier partners.

    • Plan time for the suppliers’ load-in, set-up and load-out when reserving function space.
